Global Technical Services is a globally recognized technical knowledge centre within the Marine Power Field Services and Workshop, Global Expert Operations Business of Wärtsilä - supporting internal and external stakeholders technically during the life cycle of products and solutions delivered or serviced by Wärtsilä. You will be part of a global, innovative and customer-driven organisation, working with experts in the Global Technical Services organisation, primarily with the ones located in Vaasa as well as cooperating with the colleagues in other locations.

 

Our present Administrative Coordinator will go on maternity leave and we look for a person who can support us out during this period. The position reports to General Manager Medium and Small Bore Engines. The location of the position is in Vaasa, Finland. Join our team of professionals and apply now!

 

Responsibilities    

  • High level administration, development and support for Global Technical Services General Managers located in Vaasa. 
  • Administrative and operational support for Global Technical Services personnel located in Vaasa
  • Intranet development and support. Update information in Intranet, MS Teams and M-Files
  • Create and update email groups. 
  • Update organisation chart and create the appointments. 
  • Organise meetings and events (meeting calls, conference room booking, servings, agenda, type minutes of meetings). 
  • Creating presentations. 
  • Support in travelling arrangements, expence reporting and visa applications as well as on the related documents such as insurance certificates, quarantee and support letters, A1 applications, EU posted worker notifications etc.  
  • Attending to local development projects.  



Requirements        

  • B.Sc. in Business administration or equivalent 1-3 years’ work experience in similar tasks - an administrative background is desirable
  • Good presentation, communication and team working skills
  • Motivation to learn new things and high attention detail
  • Strong organizational skills with the ability to multitask, including flexibility
  • Reporting and analysing skills
  • Knowledge of sourcing process in general and related tools 
  • Workplace ICT equipment & applications (M-Files, CRM (SWF), SAP/ WEP experience and MS office tools)
  • Ability to work autonomously but be a proactive team player, who is comfortable brainstorming, creating, and delivering information and material to both small and large groups of internal stakeholders.
  • Positive and helpful attitude.
  • Situational and cultural sensitivity
  • Good command of English. Finnish and Swedish seen as an advantage
